Overview: 
Mayzo, a specialty chemicals company since 1986, is seeking an Accounting and Customer Service Specialist to join our professional team. In our collaborative, team-oriented, and fast-paced culture, this position will work closely with other professionals involved in accounting, customer service, and operations functions. 
 
Duties and Responsibilities:
Accounting and Finance Support 
  • Manage and prepare daily invoices for approval.
  • Perform three-way matching process of purchase orders, receipts, and invoices.
  • Prioritize invoices based on cash discount opportunities and payment terms.
  • Respond to vendor inquiries and resolve discrepancies. 
  • Assist with month-end close and preparation of monthly financial statements.
  • Maintain and update supplier master data, including federal ID numbers.
  • Reconcile vendor accounts by reviewing monthly statements and resolving discrepancies. 
  • Support bookkeeping and financial record-keeping.
  • Collaborate with the finance team to ensure accuracy and compliance with accounting standards. 
  • Send payment reminders and follow up on outstanding balances. 
Customer Service and Order Support 
  • Serves as the primary point of contact for international customer interactions via phone, email, or mail. 
  • Build and maintain long-term relationships with key accounts by providing proactive support and personalized service.
  • Receive, review, and accurately enter customer international purchase orders.
  • Analyze each order for accuracy, including pricing, product availability, and special instructions.
  • Confirm shipping arrangements and adjust sales orders as needed to ensure proper fulfillment. 
  • Communicate order confirmations and track information to customers in a timely manner.
  • Update Chempax with daily notes for the Daily Sales Report and document all customer touchpoints. 
General Administrative Duties
  •  Coordinate incoming and outgoing mail, shipments, and package distribution.
  • Assist in ordering office and facility supplies. 
  • Perform other duties as assigned. 

Qualifications:
  • Bachelor’s degree in Accounting, Business Administration, or a related field. 
  • Minimum of 3 years of experience as accounts payable assistant or similar role.
  • Proficient in accounting software and Microsoft Office Suite. 
  • Strong communication and interpersonal skills
  • Ability to prioritize tasks and meet deadlines in a team environment.
